Welcome to AitoScore ("we", "us", "our"). These Terms and Conditions ("Terms") govern your access to and use of our services, including the Aito Score platform, AI caller (EasyCaller), review widgets, and any other products or services we provide (collectively, the "Service"). By using our Service, you agree to be bound by these Terms.

1. Definitions

For the purposes of these Terms, the following definitions apply:

Service: Refers to the entire suite of services provided by AitoScore, including but not limited to AI-powered customer feedback calls (EasyCaller), review aggregation, management dashboards, analytics, embeddable trust widgets, and integrations with third-party platforms.

Company Account: The organizational user entity registered on the AitoScore platform. Each company account is tied to one or more workspaces and is responsible for all activity under its account.

Workspace: A distinct environment within a Company Account used to configure, manage, and operate services (e.g., call campaigns, widgets). A company may manage multiple workspaces.

End-User: The customer or individual contacted through the AI calling system or whose review data is otherwise processed via the Service.

Review: Any qualitative or quantitative feedback (including star ratings, open-ended comments, and metadata) gathered through AI calls, imported from external platforms, or submitted manually by users.

EasyCaller: AitoScore’s AI-based phone call system that performs post-purchase calls to gather reviews and insights from end-users on behalf of client companies. It may include scripted prompts, voice synthesis, voicemail detection, and transcription features.

Call Configuration: The structured sequence of prompts and system behavior (e.g., greeting, star rating prompt, open questions, ending) defined by the customer for an AI call. This configuration determines what the AI caller says and listens for during a session.

Widget: A customizable and embeddable review display tool that companies can place on their websites. Widgets may include trust scores, customer quotes, star ratings, and structured data for SEO.

Customer Data: Any data input, uploaded, or otherwise provided by a Company Account to the AitoScore platform, including phone numbers, customer names, review content, and any other personal or business information.

Confidential Information: Any non-public information disclosed by one party to the other that is marked as confidential or would reasonably be understood to be confidential given the nature of the information and the circumstances of disclosure.

Third-Party Review Source: Any external service or platform (e.g., Trustpilot, Google Reviews, Yelp) from which reviews are collected, displayed, or synchronized via integrations.

Voice Provider: The external infrastructure used to deliver AI calls. The platform uses these providers for call transport and may change providers at its discretion.

Marketing Consent: The legally required opt-in given by end-users before they can be contacted with promotional messages, including during or after an AI call. The customer is fully responsible for managing and tracking these consents.

2. Eligibility

To use the AitoScore platform and its associated services, the following eligibility requirements must be met:

Minimum Age: You must be at least 18 years of age or the legal age of majority in your jurisdiction, whichever is higher.

Authorized Representation: You must have full authority to bind the business or legal entity you represent to these Terms. Personal or consumer use is not permitted.

Business Use Only: The platform is strictly intended for business-to-business (B2B) use. You may not use the Service as a private individual or for consumer purposes.

Compliance with Laws: You must not be prohibited from using the Service under any applicable laws, including data protection, marketing, and telecommunications regulations.

Valid Contact Details: You must provide accurate and up-to-date registration details, including a valid business email address, phone number, and company identification (e.g., Y-tunnus for Finnish companies).

Use of AI Calling Features: If you configure or use the EasyCaller AI call system, you are responsible for ensuring that recipients have lawfully provided consent to be contacted, especially when marketing content is included.

Jurisdiction Restrictions: We may restrict or refuse service in specific regions or countries where legal, regulatory, or operational challenges exist.

No Competitor Use: You may not use the Service if you are a direct competitor of AitoScore, except with our prior written consent, nor for purposes of benchmarking or competitive analysis.

3. Service Description

AitoScore provides a comprehensive review and trust platform designed to help businesses collect, manage, and showcase customer feedback efficiently using artificial intelligence and automated systems. The Service includes but is not limited to the following features and capabilities:

3.1. Collecting Reviews Automatically

After your customer uses your service or product, our AI caller (EasyCaller) can contact them by phone, ask for their experience, collect a star rating, and optionally record their open-ended comments. Everything is done automatically based on the script and tone you configure in your dashboard. This means you can gather valuable feedback without lifting a finger.

3.2. Understanding What Customers Really Think

We turn phone calls into structured data: star ratings, quotes, and insights. This helps you see trends in your customer experience and improve your business. You get full transcripts and can track review volume, response rates, and how your team is doing over time.

3.3. Displaying Reviews on Your Website

AitoScore provides easy-to-install widgets that show your collected reviews publicly. You can customize the colors, layout, and design to match your brand. This helps build trust with new visitors and improves conversions.

3.4. Syncing Reviews from Other Platforms

In addition to your own calls, you can pull in reviews from platforms like Google and Trustpilot, so your widget shows everything in one place. This gives a complete and fair picture of how customers feel about your company.

3.5. Staying Compliant and Ethical

We take privacy seriously. You’re in control of whether your AI calls include any marketing language — and we require that your customer has clearly agreed to that in advance. We also log the consents and give you tools to respect customer preferences.

3.6. Managing Everything from One Dashboard

You can view reviews, manage call campaigns, monitor call outcomes, and adjust your AI voice flow all from a clean and user-friendly dashboard. No tech skills required.

3.7. Continually Improving

We’re always adding new features and improving the experience based on user feedback. Some features are in beta and may change, but we’ll always be transparent about what’s live and what’s coming next.

AitoScore is built for companies who want to take control of their customer reputation and build real trust with automation, clarity, and fairness.

4. Account Registration & Security

To use AitoScore, your company must create an account and designate one or more users who will be responsible for managing your workspace and settings. Here’s what you need to know:

4.1. Account Creation

You must provide accurate, current, and complete information when registering, including your company name, business email, and authorized contact person.

By registering, you confirm that you are authorized to act on behalf of the company and accept these Terms.

4.2. Login Credentials and Access

You are responsible for keeping your login credentials secure and confidential.

You agree not to share your account access with unauthorized users.

If you suspect unauthorized access or a security breach, you must notify us immediately.

4.3. Role and Permissions

Each company account can have multiple users with different roles (e.g., Owner, Admin, Editor).

It is your responsibility to manage user permissions within your team and revoke access from ex-employees or partners as needed.

4.4. Account Use and Restrictions

You must use the account only for lawful, business-related purposes.

You may not create accounts with the intent to impersonate another entity or misrepresent your identity.

4.5. Our Right to Suspend or Terminate

We reserve the right to suspend or permanently disable your account if we detect any activity that violates these Terms, appears fraudulent, or poses a risk to system integrity.

4.6. Security Measures

We implement standard security protocols to protect your account and data, but we cannot guarantee complete safety.

You are responsible for securing your own devices, networks, and third-party logins connected to AitoScore.

Account integrity is essential to your company’s trust score and your use of the platform. Keep your access credentials safe and ensure only authorized users can make changes on your behalf. We may suspend accounts for breach or suspected misuse.

5. Customer Obligations

As a user of AitoScore, you and your organization are expected to use the platform responsibly, ethically, and in full compliance with applicable laws and regulations. The trustworthiness of your reviews and calls reflects directly on your brand, and misuse of the platform could result in suspension or termination of your account.

5.1. Use of the Service

You agree to use the Service for legitimate business purposes only.

You will not use the platform in any way that is deceptive, misleading, or violates local, national, or international laws.

5.2. Review Content

You must not upload or generate fake reviews.

You may not alter, manipulate, or fabricate review content collected through our AI caller or external platforms.

If you choose to display reviews on your website, you are responsible for moderating and presenting them fairly and transparently.

5.3. Consent and Communication Responsibility

You must ensure that any customer you contact via EasyCaller has provided valid and informed consent, especially if the call contains any promotional or marketing content.

It is your responsibility to maintain accurate records of consent.

You must comply with all data protection and marketing communication laws, including GDPR, the ePrivacy Directive, and any local telecom regulations.

5.4. Respecting Customer Preferences

You must provide customers with a way to opt out of further communications and respect their choices.

If a customer withdraws consent or objects to being contacted, you must promptly honor that request.

5.5. Fair Usage and Platform Integrity

You must not attempt to overload, bypass, or interfere with any system, network, or feature within AitoScore.

You may not reverse-engineer, decompile, or tamper with the platform or its integrations.

You must not use the Service to impersonate others, defame, or target individuals or competitors.

5.6. Legal Compliance

You are solely responsible for understanding and complying with the legal requirements that apply to your use of AI voice calls, consent collection, review usage, and marketing practices in your jurisdiction.

Using AitoScore properly helps maintain the credibility of our platform and builds long-term trust between your business and your customers.

You must not submit fake, misleading, or unlawful content.

You must ensure valid consent is collected before using AI calls for marketing.

You must respect opt-outs and do-not-call preferences.

6. AI Calling (EasyCaller)

EasyCaller is AitoScore’s AI-powered calling system that enables your company to automatically collect reviews from your customers via phone calls. It is designed to be customizable, efficient, and fully integrated with your workspace.

6.1. How It Works

You configure your EasyCaller script in your dashboard, including greeting, star rating request, optional open-ended questions, and closing statement.

The system automatically initiates calls to your customers after a purchase or service.

Voice responses are transcribed into text and analyzed to extract structured review content.

6.2. Consent and Legal Responsibility

You must ensure that all customers you contact using EasyCaller have given valid, informed consent to be called.

If your script includes marketing language (e.g., promotions or upsells), explicit prior consent is required under applicable laws.

You are responsible for keeping records of all consent and complying with local and international communication regulations (e.g., GDPR, ePrivacy Directive, national telecom rules).

6.3. Call Features

EasyCaller detects voicemail and silence, and ends the call automatically if the recipient does not engage.

The voice and language used can be customized per workspace or campaign.

You may adjust the script and behavior in the dashboard before each campaign.

6.4. Review Quality and Moderation

While the AI caller follows your configured script, the review outcome may vary depending on the user’s engagement.

We do not guarantee that every call results in a usable review.

You are encouraged to monitor performance and adjust your configuration to optimize review collection.

6.5. Data Handling

Transcripts and ratings from calls are stored securely in your account.

These reviews may be displayed via widgets, aggregated into analytics, or exported via API.

You must handle all data in compliance with privacy laws and your own internal policies.

Using EasyCaller allows you to gather authentic feedback at scale — but with that power comes the responsibility to use it transparently, ethically, and in compliance with your legal obligations.

7. Review Display & Moderation

Displaying customer reviews is one of the most powerful features of AitoScore — and it comes with important responsibilities. You have full control over how reviews appear on your site, and it’s your job to ensure they are presented accurately and fairly.

7.1. Review Ownership and Display

You choose which reviews to display via your dashboard and widgets.

You can highlight certain quotes, control the layout, and filter reviews by rating or source.

The way you display reviews should not be misleading or manipulative (e.g., hiding all low ratings).

7.2. Moderation Tools

We provide tools for you to flag or hide reviews that are irrelevant, inappropriate, or inaccurate.

You may use these tools to maintain quality, but not to censor genuine negative feedback unless it violates specific guidelines (e.g., hate speech, spam).

7.3. Our Right to Moderate

We reserve the right to remove or hide content that violates our platform policies, harms other users, or breaches legal obligations.

This includes fake reviews, discriminatory language, or technical misuse of the widget.

7.4. External Review Sources

When you connect external platforms (e.g., Google Reviews, Trustpilot), you are responsible for complying with their display rules and terms of use.

We can edit or remove content originating from third-party platforms.

7.5. Transparency and Trust

Your review widget includes clear signals about where reviews come from (e.g., phone call, Google, manual entry).

You must not attempt to impersonate third-party reviews or mislabel feedback.

The goal of review display is to build trust — not to filter reality. AitoScore gives you flexibility and visibility, but expects you to use these tools responsibly and transparently.

You are responsible for the content you choose to display.

We may moderate or remove content that violates our policies.

8. User Content and Licenses

When using AitoScore, you may upload, submit, or generate content such as customer contact data, call configurations, review text, ratings, and other materials (collectively referred to as "User Content"). The following terms apply to such content:

8.1. Ownership

You retain full ownership of your User Content. AitoScore does not claim any ownership rights over it.

You are responsible for ensuring you have the necessary rights and permissions to submit or use any content on our platform.

8.2. License to Us

By using our Service, you grant AitoScore a non-exclusive, worldwide, royalty-free license to host, store, reproduce, process, display, and distribute your User Content solely for the purpose of operating and improving the Service.

This includes displaying reviews in widgets, generating analytics, processing call transcriptions, and enabling search and filtering in your dashboard.

8.3. Sharing and Display

If you choose to publish content (e.g. reviews) publicly using widgets or links, you authorize us to display that content as configured in your settings.

You understand that public content may be indexed by search engines and visible to third parties.

8.4. Responsibility for Content

You are solely responsible for the accuracy, legality, and appropriateness of any content you provide.

You must not upload content that infringes on third-party rights, contains unlawful material, or violates these Terms.

8.5. Retention and Deletion

We retain your content only as long as necessary to provide the Service.

Upon request or account closure, we will delete or anonymize your data in accordance with our Privacy Policy and applicable laws.

Respecting ownership while enabling seamless use of content is core to how AitoScore operates. We handle your data securely and only use it in ways that support the value you get from the platform.

You grant us a license to process and display your content as part of the Service.

9. Third-Party Integrations

The Service integrates with external services. AitoScore works seamlessly with a range of trusted third-party services to deliver its full functionality — especially for voice calls, transcriptions, and review syncing. These integrations are essential parts of the platform, and here’s what you need to know:

9.1. External Service Providers Our system integrates with providers to deliver voice calls, convert speech to text, and enable AI call features.

We also connect with platforms to help you import and display external reviews.

9.2. Your Responsibility By enabling these integrations, you confirm that you have permission to use the linked accounts and any data they provide.

You must follow the terms of service and usage rules of any connected third-party platforms.

9.3. Platform Changes or Disruptions While we strive to maintain stable integrations, we are not liable for interruptions, changes in availability, pricing, or policy changes imposed by these external services.

If a third-party provider discontinues or restricts access, we may modify or discontinue related features accordingly.

9.4. Data Handling When connecting to external services, only the data necessary to perform the task (e.g., fetching reviews or sending a call) is used.

All such data is handled in accordance with our Privacy Policy and applicable laws.

AitoScore is built on a modern, flexible architecture that supports third-party tools to enhance your experience — but we depend on those tools working as expected. We'll always do our best to adapt and keep things running smoothly.

We are not responsible for outages or changes to third-party services.

10. Fees, Billing, and Pricing Changes

AitoScore offers both free and paid plans depending on the needs and scale of your business. The following terms apply to all billing and pricing matters:

10.1. Subscription Plans

Features and usage limits vary by plan. You can choose the right level of access depending on your business size, call volume, and widget needs.

Certain advanced features — including custom call flows, extended analytics, or API access — may only be available on paid plans.

10.2. Usage-Based Billing

In addition to your subscription, you may be charged based on usage such as AI call minutes, review volume, or API requests beyond included limits. The basic usage based pricing is based on the amount of starting AI caller minutes. There may be usage-based limitations or additional prices regarding the views of trust widgets or other usage-based prices, which are represented in the payment process and pricing information.

Your dashboard will clearly indicate any usage-based pricing.

10.3. Payment Terms

Payments are typically collected monthly or annually in advance, depending on your chosen billing cycle.

All prices are exclusive of VAT or any applicable taxes unless explicitly stated. Taxes are applied at checkout depending on the jurisdiction and your information.

You are responsible for keeping your payment method up to date. Failed payments may result in service interruption.

10.4. Non-Refundable Policy

All payments are final and non-refundable, including in cases of unused services, unless otherwise required by law or explicitly stated in writing.

10.5. Price Changes

We reserve the right to change pricing, plan structures, and billing terms at any time.

If pricing changes affect your current plan, we will provide advance notice (typically 14–30 days) via email or your dashboard.

Continued use of the Service after pricing changes take effect constitutes acceptance.

10.6. Free Trials and Promotions

From time to time, we may offer limited-time trials or discounts. These are subject to change or cancellation at our discretion.

Promotional rates apply only during the advertised period and revert to standard pricing unless otherwise stated.

All fees are non-refundable unless stated otherwise.

We reserve the right to change pricing or billing terms at any time with notice.

11. Cancellation & Termination

We understand that your needs may change, and you may decide to stop using AitoScore. This section explains how you can cancel your account and under what circumstances we may suspend or terminate it.

11.1. Cancelling Your Account

You can cancel your subscription at any time through your account settings.

Cancellation will take effect at the end of your current billing period; no refunds will be issued for the remaining period unless required by law.

After cancellation, your access to paid features will end, but your account may remain in a limited-access state until you delete it or request full removal.

11.2. Requesting Data Deletion

Upon cancellation, you may request that we permanently delete your data. This includes reviews, call transcripts, customer lists, and widgets.

We may retain some data for legal compliance, fraud prevention, and audit purposes in accordance with our Privacy Policy.

11.3. Suspension or Termination by Us

We may suspend or permanently terminate your account if:

You breach these Terms or applicable laws

You engage in fraudulent, abusive, or harmful conduct

We are required to do so by legal authorities

Continued use of the Service threatens platform stability or other users

11.4. Notice and Appeal

We will usually notify you in advance if your account is being suspended or terminated, unless doing so would compromise an investigation.

If you believe your account was closed in error, you can contact us to request a review.

11.5. Effects of Termination

When your account is terminated, your access to all data and platform features is revoked.

Any licenses or rights granted to you under these Terms will cease.

You remain responsible for any outstanding fees or obligations incurred before termination.

We reserve the right to suspend or terminate your account for violations.

Upon termination, access to your account and data will cease.

12. Data Processing & Privacy

At AitoScore, we take data privacy seriously. We are committed to handling your information — and your customers' information — securely, transparently, and in full compliance with applicable laws, including the General Data Protection Regulation (GDPR).

12.1. Roles and Responsibilities

You are the data controller for all personal data you provide or collect using our platform, including customer phone numbers, review content, and call transcripts.

AitoScore acts as the data processor, meaning we process this information on your behalf and according to your instructions.

12.2. Our Privacy Commitments

We only process data necessary to provide and improve our services.

We never sell, trade, or misuse your or your customers' data.

All customer data is encrypted at rest and in transit, and stored in secure, access-controlled environments.

12.3. Consent and Lawful Basis

You are responsible for obtaining valid and informed consent from your customers before collecting or using their data, especially in connection with AI calls or marketing messages.

Our system provides tools to help you manage consent logs, but legal responsibility rests with you.

12.4. Data Processing Agreement (DPA)

AitoScore offers a standard Data Processing Agreement (DPA) to support your GDPR compliance.

You can request a copy of our DPA at any time by contacting legal@aitoscore.com.

12.5. Data Access and Deletion

You can export or delete customer data at any time via your dashboard or by contacting our support team.

Upon account termination, we retain data only as long as necessary for legal, security, or billing purposes unless you explicitly request full deletion.

12.6. International Data Transfers

We may process data outside of your country, including in the EU and EEA. If we use subprocessors in other jurisdictions, we ensure appropriate safeguards are in place.

GDPR: You are the controller of your customer data; we act as a processor.

A Data Processing Agreement (DPA) is available upon request.

13. Confidentiality

Trust is foundational to how AitoScore operates. Both you and AitoScore may share non-public information with one another during the course of using the Service. This section outlines how that information must be handled.

13.1. Definition of Confidential Information

"Confidential Information" means any non-public, proprietary, or sensitive information disclosed by either party — whether orally, in writing, or electronically — that a reasonable person would understand to be confidential under the circumstances.

This includes but is not limited to business plans, technical data, product ideas, customer lists, scripts, call data, pricing details, and security protocols.

13.2. Obligations of Confidentiality

Both parties agree to use Confidential Information only for purposes related to the use and operation of the AitoScore platform.

Neither party may disclose the other party’s Confidential Information to any third party without written consent, except to employees or service providers who need to know it to carry out their duties and are bound by confidentiality obligations.

13.3. Exclusions

The obligations above do not apply to information that:

Was already known by the receiving party without a duty of confidentiality

Becomes publicly available through no fault of the receiving party

Is lawfully obtained by the receiving party from a third party without breach of confidentiality

Is independently developed by the receiving party without reference to the disclosed Confidential Information

Must be disclosed by law, court order, or regulatory authority (with notice to the disclosing party where legally permissible)

13.4. Duration

The confidentiality obligations in this section remain in effect during your use of the Service and for a period of permanent years after termination of the agreement.

13.5. Return or Deletion of Information

Upon request or termination of your account, each party must return or securely delete the other party’s Confidential Information, except as required by law or internal archival policy.

Maintaining confidentiality protects both your business and ours — and ensures that shared insights, strategies, and data remain secure and respected.

14. Intellectual Property

AitoScore is built with care, and we work hard to protect the technology, content, and design that make our platform work. This section outlines what we own, and what you are allowed to use.

14.1. Ownership of the Platform

All intellectual property rights in the AitoScore platform — including its software, visual design, branding, widgets, AI caller configurations, call flows, and other assets — are and will remain the exclusive property of AitoScore or its licensors.

14.2. Limited License to You

We grant you a limited, non-exclusive, non-transferable, revocable license to use the Service for your internal business purposes, as long as you comply with these Terms.

This license does not include the right to copy, distribute, modify, create derivative works of, reverse engineer, or commercially exploit any part of the platform unless specifically authorized by us in writing.

14.3. Feedback and Suggestions

If you send us suggestions, feedback, or ideas for improvements, you agree that we may use them freely without compensation or obligation to you.

14.4. Use of AitoScore Brand

You may not use our name, logo, or trademarks without prior written permission, unless you are using approved widget features that include our brand.

Protecting our intellectual property allows us to continue developing new features and maintaining a high-quality platform for all users.

You are granted a non-exclusive, revocable license to use the Service.

15. Disclaimer of Warranties

We strive to deliver a reliable and effective service, but it's important to set realistic expectations. The AitoScore platform — including EasyCaller, dashboards, APIs, widgets, and related services — is provided to you "as is" and "as available."

15.1. No Guarantees

We do not make any guarantees or warranties about the accuracy, reliability, completeness, or performance of the Service.

We do not guarantee that:

The Service will be uninterrupted, secure, or error-free

AI call outcomes will lead to reviews or improved business results

Widgets will increase conversions, SEO performance, or customer trust

15.2. Platform Availability

While we aim for high availability, we do not guarantee uptime or continuous access.

Maintenance, updates, or external service disruptions may impact the Service temporarily.

15.3. No Legal, Marketing, or Compliance Advice

Any insights, analytics, or configurations provided through the platform should not be interpreted as legal advice, marketing guarantees, or compliance validation.

You are solely responsible for evaluating and implementing the platform in accordance with your business needs and legal obligations.

15.4. Third-Party Services

We are not responsible for issues caused by third-party services or integrations, including voice providers or review platforms.

Using AitoScore is at your own risk. We encourage testing, reviewing outcomes, and reaching out to our team for help if you're unsure about any aspect of the platform.

16. Limitation of Liability

While we aim to provide a high-quality and reliable platform, there are certain limits to what we can be held responsible for.

16.1. Types of Damages

To the fullest extent permitted by law, AitoScore is not liable for any indirect, incidental, special, consequential, or punitive damages.

This includes but is not limited to loss of profits, revenue, goodwill, data, or business opportunities resulting from your use of or inability to use the Service.

16.2. Maximum Liability

Our total liability to you for any claims under these Terms — whether in contract, tort, or otherwise — is limited to the total amount you paid us in the twelve (12) months preceding the event that gave rise to the claim.

16.3. No Liability for External Factors

We are not liable for failures or delays resulting from conditions beyond our reasonable control, including third-party service outages, telecommunications issues, or force majeure events (e.g. natural disasters, wars, strikes, or legal restrictions).

16.4. Allocation of Risk

These limitations form an essential basis of the agreement between you and AitoScore. By using the Service, you agree that these risk limitations are fair and reasonable in light of the nature of the Service and pricing.

Your use of AitoScore comes with powerful tools and automation — and our liability remains appropriately limited to ensure sustainable, fair service delivery for all users.

17. Indemnification

You agree to indemnify us from claims related to misuse of the Service, including unlawful calls, consent violations, or third-party content issues. To help protect the integrity of the platform and other users, you agree to take responsibility if your actions result in legal or financial consequences for AitoScore.

17.1. Your Agreement to Indemnify

You agree to defend, indemnify, and hold harmless AitoScore, its affiliates, directors, employees, and service providers from any claims, damages, liabilities, costs, and expenses (including reasonable legal fees) arising out of or related to:

Your use or misuse of the Service

Any violation of these Terms or applicable law

Unlawful, unauthorized, or non-consensual communications (including AI calls)
